Texas Space Commission (Commission) is looking for a Staff Services Officer (Staff Services Officer III).

The Texas Space Commission works to promote innovation in the field of space operations and commercial aerospace opportunities, including the integration of space, aeronautics, and aviation industries into the Texas economy. We are located primarily within the Texas State Capitol Complex in Austin.

The salary is $5,416.67 - $5,833.34 a month ($65,000.04 - $70,000.08 a year).

What You’ll Do
Performs complex (journey-level) staff services work in a fast-paced and professional environment to support Commission functions and personnel. The Commission was established to strengthen Texas’ proven leadership in civil, commercial, and military aerospace activities by promoting innovation in the fields of space exploration capabilities, including the integration of multiple industry sectors into the Texas economy. Responsibilities involve coordinating and processing travel expense reports, reviewing meeting requests as a function of administrative support services, completing special projects related to Commission board or Consortium executive committee initiatives, and tracking multiple assignments with external organizations. Maintaining strict confidentiality and working within tight deadlines are required. Demonstrating efficiency, superior customer focus, and strong interpersonal effectiveness whether communicating with others via telecommunication platforms or in person.
- Safeguards sensitive documentation and maintains data (digital and paper files) confidentiality and orderliness at all times.
- Prepares, edits, and distributes digital and hardcopy materials for meetings, events, conferences, and special projects, as needed.
- Supports all Commission personnel in data collection and processing, as well as organization and preparation of reports and any materials in response to requests for program information.
- Assists with recommending and implementing administrative policies and procedures to enhance operational efficiency.
- Supports accounting and administrative functions performed within the Commission.
- Coordinates, participates, and assists with developing job postings and screening applicants.
- Serves as the Commission’s Travel Liaison, with guidance from the Executive Assistant, for coordinating plans and is primary for processing pre-travel forms or post-travel documents (i.e., vouchers).
- Prepares, reviews, and processes travel vouchers in accordance with established guidelines set forth in Comptroller’s TexTravel and the Commission’s travel policies and procedures for reimbursable expenses or Agency expenditures for all staff and board directors of the Commission.
- Assists with all travel-related matters for any Commission personnel, such as Hotel Engine software platform and state agency travel contract vendors.
- Reviews and ensures the accuracy and compliance of travel and purchase requisitions with the Commission’s policies and regulations.
- Reconciles and processes travel accounts and financial invoices for Commission operations.
- Assists in reviewing and updating the Commission’s travel policies and procedures.
- Provides travel training to all Commission personnel, including Board of Directors.
- Establishes and maintains uniform systems and controls necessary for accurate expenditure tracking and budget balance for the Commission’s travel programs as well as official office operations.
- Serves as the Records Retention Coordinator for the Commission, under the direction of the Chief Compliance Officer.
- Provides administrative and technical assistance to the Commission personnel, including maintaining files, contacts, and calendars, as directed.
- Provides administrative support to the Chief Compliance Officer and General Counsel.
- Serves as back-up for the Commission purchasing, including reconciling and processing financial invoices for payment by Financial Services. Maintains equipment, materials, and supplies.
- Prepares and tracks all procurement requests in accordance with all state and agency requirements.
- Processes purchase orders, coordinates, and monitors expenditures, and maintains inventory.
- Serves as back-up for front desk coverage, including answering the phone and monitoring shared email accounts.
- Provides customer service to internal and external users of the Commission.
- Demonstrates subject matter expertise, professional confidence, and clarity when representing the Agency.
- Remain well informed of the Commission initiatives, operations, news releases, web content, programs, statewide trends, as well as all policies and procedures.
- Plans and coordinates special and administrative assignments and programs.
How You’ll Qualify
- High school diploma or equivalent; and
- Three (3) years of experience in office management, business administration, human resource administration, or budget preparation work.
Note: Experience and education may be substituted for one another on a year-for-year basis.
You’re a Great Fit with
- Graduation from an accredited four-year college or university with a degree in accounting, human resources, business administration, or a related field;
- Previous experience working at a government agency (local/state/federal);
- Bilingual communication proficiency (verbal and written); and
- Knowledge of the Centralized Accounting and Payroll/Personnel System.
